AKIVA AND AKIVA VIEW BOOKING CONDITIONS – ACCOMMODATION

1.       These terms and conditions apply to both Akiva or Akiva View properties hereafter called ("Akiva").

2.       Bookings may be made by on-line using akiva.com.au, stayz.com.au, takeabreak.com.au or any other website where Akiva is self marketed.

3.      The person who is named on the booking form remains the sole contact person for communications with Akiva.

4.       All bookings must be paid in full or a holding deposit of $250.00 paid at the time of booking, or your reservation is not guaranteed.

5.     A security deposit of $100.00 in addition to the tariff is also required at the time of payment. If property linked to the accommodation is damaged, lost or taken during your stay, or requires 'excessive' cleaning Akiva  reserves the right to withhold the security deposit for the reasonable cost of repair, replacement or extra cleaning of that property.  If the property remains undamaged the security deposit will be refunded to you within 5 working days of your departure.

6.       Payments may be made by direct deposit as instructed by Akiva. Payment by cheque will only be accepted if full payment is received as cleared funds at least 14 days before arrival.

7.       Bookings for arrival on the same day or the next day must be confirmed by telephone with Akiva. A representative will make contact with you to confirm or the booking may not be valid.

8.       Tariffs for full occupancy may be applied when booking a multiple bedroom property on a weekend, 14 days or more in advance.

9.       Changes to accommodation bookings incur an administration fee of $50 in addition to any cancellation fee.

CANCELLATION POLICY

10.    Cancellations made more than 30 days before arrival will incur a cancellation fee of 20% of the total tariff.

11.    Cancellations made 30 days or less and more than 7 days before arrival will incur a cancellation fee of 50% of the total tariff.

12.    Cancellations made 7 days or less before arrival will incur a cancellation fee 100% of the total tariff.

13.    A request to change dates 7 days or less before arrival must be made by telephone during office hours and may be deemed to be a cancellation in the event that the property is not re-booked for the original number of nights stay.

14.    Should the property be re-booked you may elect to use the balance of your deposit – less the administration fee of up to $50 – or pay the total tariff and accept an Accommodation Coupon valid for up to 6 months.

15.    Travel insurance is strongly recommended for both medical and cancellation coverage.

COUPON POLICY

16.    A Coupon entitling you to re-book at the same accommodation may be provided under our cancellation policy.

17.    Coupons are valid for 6 months and are subject to accommodation availability; they are not redeemable for cash.

18.    Coupons are redeemable in Australian dollars. Any increase in the price of accommodation between the time the Coupon is issued and the time of booking must be paid at the time of booking.

19.    Coupons must be verified by Akiva upon your next booking.

20.    Cancellation of accommodation booked using a Coupon is final. No refund or fresh coupon will be issued.

21.    In the event the property named in the coupon is no longer available, Akiva reserves the right to substitute the property or service for a similar property or service to the same value as the original Coupon.

22.    Coupons must be redeemed in full on a single booking.

VOUCHERS

23.    Vouchers are available from Akiva and are subject to the same conditions and cancellation policies as for Accommodation, Extras and Coupons as outlined in these Terms and Conditions.

24.    Vouchers are not redeemable for cash and can only be redeemed through Akiva.

25.    Vouchers must be redeemed in full on a single booking and vouchers must be redeemed through Akiva.

ACCOMMODATION TERMS OF USE

26.    On weekends a 2 night minimum stay may apply. On designated long weekends a 3 or 4 night minimum stay may apply.

27.    Weekend nights are Thursday and Friday, Friday and Saturday or Saturday and Sunday. Consecutive nights from Sunday to Thursday are considered midweek.

28.    Once your reservation is confirmed any changes to bedding configuration may incur a $35.00 fee at the guests expense. This fee may be deducted from your security deposit.

29.    Check-in time is 3pm on day of arrival and check-out is 12 noon unless otherwise advised by Akiva.

30.    Key collection arrangements will be made available to you upon the receipt of your confirmation letter.

31.    Akiva  is not responsible if the chosen accommodation does not "meet" the expected style required. Please view accommodation at our website and contact us if you have any queries.

32.    Multiple rooms exist on the property and Akiva  may choose which room you occupy in your booking. However you should note that you have the sole occupancy at the property.

33.    Akiva is not responsible for any failure of utilities, essential services and appliances. Please report any failures to Akiva as soon as possible and every attempt will be made to contact the appropriate authorities or organise repairs. However, immediate repair may be beyond our control.

34.    No refund or discount will be deducted from tariffs for unusable appliances awaiting repair.

35.    Call-outs deemed by Akiva to be non-urgent will incur a call-out fee of $100.

36.    Visitors may be received subject to notice to Akiva and subject to a possible fee per visitor. Any additional cleaning required as a result of gatherings is not the responsibility of Akiva. Such cleaning costs may be charged directly to you.

37.    Akiva  is not responsible for the security of your belongings. Please ensure your accommodation is secure when not occupied.

38.    Breakfast provisions are supplied for the first morning only, unless otherwise advertised.

39.    Extra refresh service or restocking of non consumable supplies will be provided on request, at guest's expense.

40.    Noise complaints: Only one warning will be issued. Any further complaints will result in immediate eviction from the premises with no refund.

41.    Smoking: Please note that Akiva is strictly non smoking, however ashtrays are provided for guests to smoke in outdoor areas only. Smoking indoors will result in immediate eviction from the premises with no refund.

42.    Pets: Due to allergies that may be suffered by guests Akiva prohibits pets from being brought on to the property. Bringing pets to Akiva will result in immediate eviction from the premises with no refund.

DAMAGED OR MISSING PROPERTY

43.    Please notify Akiva  immediately of any loss or damage to property, including keys.

44.    The fee payable for lost keys is $100. Locksmith's fees will also be charged directly to you.

45.    If property linked to the accommodation is damaged, lost or taken during your stay Akiva reserves the right to charge you the reasonable cost of repair or replacement of that property.

ADDITIONAL COSTS

46.   Akiva reserves the right to debit your credit card, or send you an invoice, for any amounts outstanding or any extra charges for cleaning, extra packages, additional guests, extra bedrooms used, lost keys, call-outs, repairs or damage to property or the property itself. If an invoice is issued to you under these circumstances payment is strictly 7 days net. In the event of non payment, the matter will be immediately referred to a debt collection agency and additional fees charged by the agency will be added to your invoice.

CODE RED FIRE DAYS

47.   In the event of a Code Red - Catastrophic Fire Danger day being declared for the Central region, the following procedure will apply:

-   Guests currently in-house will be given the option to vacate the property prior to 5pm the evening before the code red day

-   Guests due to check-in on the code red day will be called and advised that the accommodation may not be available.

-   All guests that leave their accommodation or have been advised not to attend will be issued with a credit for a future stay.
